Privacy Policy

This Privacy Policy describes how we collect, use, and share personal information across the BuilderWarden platform: the Ownstead application, the Pre-Construction Portal at builderwarden.dev, the Buyer Portal, and related sites and services (the "Services").
§1One Platform, Connected Services
BuilderWarden operates as a single connected platform. When you move from designing a home to our pre-construction process to an active project, your information travels with you — for example, your design profile, specification package, and qualification progress are linked by a single client identifier across our applications so you never have to start over. This policy covers all of it.
§2Information We Collect
You provide:
- Account and contact data — name, email, phone, password (stored in hashed form by our authentication provider).
- Design inputs and vision profiles — descriptions, preferences, uploads, and selections used to generate floor-plan concepts, specifications, and estimates.
- Qualification and financial verification data — if you advance through our pre-construction gates, documentation you submit to verify project budget and feasibility (proof-of-funds, lender pre-approval). We treat this with heightened safeguards and access restrictions.
- Project and communications data — messages, documents, e-signature records, selections, and approvals.
- Payment data — processed by Stripe; we receive transaction status and limited billing details, never full card numbers.
Collected automatically: device and browser information, IP address, pages viewed, actions taken, approximate location derived from IP, and strictly necessary cookies (Section 7).
From other sources: builder partners and service professionals working on your project; property-data and mapping providers; identity/e-signature providers confirming signature events.
§3How We Use Information
We use personal information to: provide and operate the Services; generate Design Outputs you request (including processing your inputs with AI service providers); evaluate and advance your pre-construction journey; match you with properties and builder partners; execute and administer agreements and projects; process payments; communicate with you (service and, with opt-out rights, marketing); secure the platform, prevent fraud and abuse, and enforce agreements; comply with law; and improve the Services.
AI processing. Design inputs are processed through commercial API services from OpenAI, Anthropic, and Perplexity to generate your outputs. Under the terms governing these API services, inputs and outputs submitted through them are not used to train those providers' publicly available models. Where BuilderWarden uses data to improve its own services, we use de-identified or aggregated information that no longer identifies you, and we never use business-customer (builder partner) data for these purposes. We do not sell your inputs or outputs.
§4How We Share Information
- Within the BuilderWarden platform — across our connected applications as described in Section 1.
- Builder partners and project professionals — when you request a builder introduction, sign an agreement, or your project requires it, we share relevant profile, design, and project information with the licensed builder partner assigned to your project. Builder partners see confirmation that required financial verification was completed — never the underlying documents themselves.
- Service providers (processors) — hosting and database infrastructure (Supabase), application hosting (Lovable), payments (Stripe), e-signature (SignWell and DocuSign), AI generation (OpenAI, Anthropic, Perplexity), mapping and property services (Google Maps Platform), and transactional email (Resend) — each bound by contracts limiting use to providing services to us. - Legal and safety — to comply with law, enforce agreements, or protect rights, safety, and property.
- Business transfers — in connection with a merger, financing, acquisition, or sale of assets, subject to this policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use third-party advertising pixels or trackers on the Services.
§5Retention
We retain personal information for as long as needed to provide the Services and for legitimate business purposes: account data while your account is active; project and agreement records for the period required by construction, warranty, tax, and licensing law; and logs for shorter operational windows. Financial verification documents are retained for 24 months after your qualification process concludes, then deleted. You may request earlier deletion at any time: we honor verified deletion requests within the timeframes required by applicable law (generally 45 days under U.S. state privacy laws) and in all cases within six months, except where retention is legally required. When you delete your account, we delete or de-identify personal information not subject to legal retention duties.
§6Security
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including encryption in transit, role-based access controls, secret-authenticated service-to-service communication, audit logging of system events, and restricted access to financial verification materials. No system is perfectly secure; please use a strong, unique password.
§7Cookies
We use only cookies and similar technologies that are strictly necessary for authentication, security, and remembering your preferences. We do not use third-party analytics or advertising cookies. We honor opt-out preference signals (such as Global Privacy Control) where legally required.
§8Your Choices
You can access and update account information in your settings; unsubscribe from marketing email via the link in any message; and contact legal@builderwarden.live to request access, correction, deletion, or a portable copy of your personal information.
§9U.S. State Privacy Rights
Residents of states with comprehensive privacy laws — including California (CCPA/CPRA), Texas (TDPSA), Colorado, Connecticut, Virginia, and others — may have the right to: know/access the personal information we hold; correct inaccuracies; delete personal information (subject to exceptions); obtain a portable copy; and opt out of sales, sharing/targeted advertising, and certain profiling. Because we do not sell personal information or process it for targeted advertising or profiling that produces significant effects, there is nothing to opt out of. You will not be discriminated against for exercising your rights.
Categories collected (detailed in Section 2): identifiers; customer records (including financial verification documentation you choose to submit); commercial information; internet activity; approximate geolocation; audio/visual content you upload; professional information (builder partners); and inferences (design preferences). Sensitive personal information is limited to account log-in credentials and financial documentation you submit for verification, used only to provide the Services you request; we do not use it to infer characteristics.
To exercise rights, email legal@builderwarden.live. We will verify your request (typically by confirming control of the account email) and respond within 45 days, extendable once as permitted by law. You may appeal a denial by replying to our decision, and you may use an authorized agent with proof of authority.
§10Children
The Services are not directed to individuals under 18, and we do not knowingly collect their personal information. If you believe a minor has provided us information, contact legal@builderwarden.live and we will delete it.
§11Changes to This Policy
We will post updates here and, for material changes, notify you by email or in-product notice before they take effect.
